Migrating Three Years of Accounting Data into One Seamless Application

HTSS is a staffing service in the Lehigh Valley that connects hundreds of job seekers with their careers and matches local businesses with top-rated employees. With plans to start utilizing Zoho Invoice, it made sense for the business to migrate its accounting data from QuickBooks to Zoho Books for a more seamless experience.

Cleanup

Before any data was migrated from Quickbooks to Zoho Books, a top-level audit was performed to make sure that all data was clean before it was migrated.

Migration

Over 3 years of accounting data and over 30 imports were brought over to Zoho Books. KDG ensured accuracy and completeness by performing data reconciliation and comparing financial statements between the two systems.

Training

Following the migration, training was needed so the team at HTSS could make the most of Zoho Books and its features. The team at KDG trained HTSS remotely via screen share sessions and phone calls.

Migrating from one accounting platform to another requires both technical capabilities as well as a fine eye for accounting details. After all, the whole purpose of migrating to Zoho Books is to unlock the supreme reporting and automation capabilities that come along with the Zoho Suite. Without clean data, automation can go awry and reports can provide an unstable foundation for decision making. KDG worked with HTSS to do a top-level audit of their data to make sure that we brought clean data into Zoho and were able to immediately unlock value from the migration.

Unveiling the Client Portal

HTSS ensures maximum transparency with its clients by enabling Zoho’s Client Portal. Now, customers can review their invoices for accuracy and reach out if they have any questions or concerns. Unlike QuickBooks, Zoho Books gives clients a direct medium through which they can contact HTSS.

Big Data? No Problem

HTSS manages a large volume of daily time log transactions for their clients in addition to their operational accounting. It manages discounts for long-term clients, handles billing for retainers, automates approvals, and tracks payments made to vendors. Meanwhile, highly visual dashboards showcase detailed data in easy-to-understand snippets.

A Custom Time Tracker

In addition to Zoho Books, HTSS is partnering with KDG to develop a custom time tracking application using Zoho Creator. When completed, this time tracking app will sync directly with Zoho Books and NCR Payroll, generating up-to-date and accurate invoices that are tracked against payroll.
